What is the most difficult part of an office Relocation?

 

How to best relocate your computer network, the desktop computers, and phone system?  This is an area which few people work with on a day to day basis.  It's much more complex than most people expect.  You may have network expertise and be able to bring up the network, but designing the physical infrastructure for the communications rooms, the cabling for the facility the optimal relocation plan for the PBX and network equipments is not something your average facility manager or IT Director does every day.  This is one area where it is important to bring in an expert consultant who can advise you on what's need, and provide the Project and Implementation management to be sure things are done correctly, per codes and specifications to meet your network and facilities requirements.

Once, business relocation was a matter of hoping your customers received the change of address card. Today, new challenges exist which were unthinkable then and seem unimaginable even today: how can you move a call center that handles thousands of calls a day? How do you move your e-commerce equipment when you offer 24 x 7 uptime? How do you shut down your servers, phone equipment, Internet services, routers, switches and firewalls, move them, and restore them in a weekend? Worse yet, how do you do this when your staff is already putting in extra hours?

These are all real-life challenges we have managed for company relocations across the country.  We have expert project management skills that ensure a trouble-free relocation process of your technology systems with minimal business disruption. Considerations include developing a master plan, planning for backup and shutdown, coordination of vendors and movers, identifying cabling, critical path and power issues as well as coordinating system personnel.

It takes planning and coordination to make sure the lights light and the phones work the first day at your new facility. We start with a plan.


First, we'll develop a comprehensive plan for migrating your network, voice and data communications, desktop computers and other components. Working with your Facilities and IT departments, we identify the equipment and services in place and review the level of documentation available.

 

The outcome is:

  • a written description of the existing environment

  • a written description of, and plans for, the new environment

  • a detailed plan for creating the new environment and migrating the existing equipment and services to it

 

Depending on your needs, we provide you with the expertise you need, we can even design a new network for you.

 

Moving the network.
Just before the move, we conduct a walkthrough to create an inventory of your equipment. Once the network has been brought down and powered off, we do all the disassembly work taking care to prepare especially sensitive equipment for a safe and efficient move.

 

Once it arrives at the new location, we reinstall the equipment and assist with reconnecting it. Finally, we help with configuring switches, routers, and related equipment, and perform cross-connects as needed.

 

Moving the desktops.
Getting everyone’s desktop computer uninstalled, moved and reconnected can be a daunting task for any company. We have the staff and experience to take this all in stride.

 

As with the network, we conduct a walkthrough and a physical inventory of all equipment prior to the move. This alerts us to anything that's unusual and identifies situations needing special labeling or handling.

 

Day one won’t be a disaster.
Reassembly is usually done the following day. Once a sufficient number of computers have been reassembled and the network is ready, we begin power-on testing and network connectivity testing. We test network ports for laptops, as well.

 

Follow-up and follow through.
Post-move support is an integral part of our work. We don’t consider the job done until everything is up and running. We’ll work with your IT department to resolve any open problems as quickly as possible. Because problems can and will pop up, we normally have a contingent staff on hand to relieve the pressure on your IT staff and ensure that your employees get prompt service.
